II. Responsibilities

Responsibilities of Office Director:

1. Coordinate and arrange important meetings (activities) of the school, such as office meetings and meetings of all teachers and students.

2. Assist in the daily work notification and promotion, social cooperation, and alumni liaison work of the school.

3. Coordinate and supervise the receipt, circulation, and handling of important documents related to the school, coordinate and organize the completion of important school manuscripts and related materials such as the annual plan summary, and do a good job in organizing and archiving school materials.

4. Coordinate the implementation of specific tasks such as appointment assessment, financial assets, and laboratory facilities; manage the relevant seals, qualifications, and website information construction of the school.

5. Assist in ensuring the safety and stability, duty keeping, and emergency response work of the school.

6. Complete other tasks assigned by the school and take the initiative to undertake public service work.

Responsibilities of Organization and Personnel Secretary:

1. Assist the Party Committee and the Joint Party-Government Committee in coordinating the party building and teachers’ ideological and political work, and personnel and talent work of the school. Do well in setting up, adjusting and changing the Party committee and Party branches of the school, as well as in organizing, recording and supervising the implementation of various meetings of the Party committee of the school.

2. Do a good job in the daily management of Party members; organize party activists, development targets and party members to participate in various types of education and training activities arranged by CUG; do a good job in the construction and daily management of the branch Party school.

3. Do a good job in managing party membership dues, building the “Home of Party Members” and sorting and filing of party building materials, and do a good job in the intra-party evaluation for branch Party committee (Party headquarters), party cadres to the community, party building publicity and reporting.

4. Assist the school in implementing the personnel and talent system, improve the construction of teaching staff of the school, and organize various personnel and talent related work. Assist in the information statistics of the school leadership and the change of administrative leadership team.

5. Be responsible for organizing and carrying out interviews and inspections for new employees, teacher qualification accreditation, faculty training, management of staff going abroad for further training, engagement examination, job hiring, annual assessment and labor discipline management.

6. Complete other tasks assigned by the leaders and office director of the school and take the initiative to undertake public service work.

Responsibilities of Teaching Secretary:

1. Assist the dean-in-charge and each department in formulating (modifying) the teaching plan and organizing to implement it;

2. Reasonably arrange the indoor practice teaching links, handle and coordinate the problems in teaching in time;

3. Be responsible for the student status management, strictly control the teaching management and do well in the construction of the teaching archives;

4. Assist the leaders in teaching quality inspection, teaching assessment, teaching research, curriculum development, construction of teaching materials and teaching appraisal;

5. Assist the leaders in the affairs about the graduate candidates exempt from admission exam;

6. Do well in the secretary affairs of the teaching instruction committee of this school;

7. Complete other affairs assigned by the leaders and the office director.

Responsibilities of Graduate Student Secretary:

1. Be responsible for the graduate student status management (new graduate student enrollment and registration and semester registration);

2. Assist the dean-in-charge in formulating and modifying the graduate training program, routine teaching inspection and assessment of the curriculums for graduate students, teaching archives management and examination arrangement;

3. Assist the Graduate School in accomplishing the teaching job description and teaching schedule;

4. Assist the dean-in-charge in interim screening and check of the graduate students; collection and sorting of the opening report for academic dissertation for master’s degree, oral defense of the dissertation and application materials for master’s degree, and academic dissertation examination;  

5. Assist the dean-in-charge in editing the admission plan and the admission directory, the admission propaganda, policy counseling, second-round examination and archive retrieval; organize the teachers to do well in examination paper making and scoring of the professional courses for admission on the principle of confidentiality; and assist the Graduate School in contract signing, household register sorting and handling of admission procedures for the graduate candidates to be admitted;

6. Be responsible for archiving of all types of materials, including graduate student status, course teaching and application for academic degree;

7. Do well in the secretary affairs of Academic Committee and Academic Degree Committee of the school;

8. Other affairs assigned by the leaders and office director of the school.

Responsibilities of Scientific Research Secretary:

1. Assist the dean-in-charge in application of scientific research projects, project management, project appraisal (acceptance and completion), registration of scientific and technological achievements, application for award for scientific and technological achievements, application for patents, technical confidentiality of projects and achievements and so on;

2. Be responsible for declaring the scientific and technical information in time, actively organize the faculty members in this school to participate in various academic exchange activities at home and abroad; actively organize the faculty members in this school to join in various academic bodies at different levels and assist in management and service;

3. Assist the dean-in-charge in the affairs of Academic Committee of this school;

4. Be responsible for the statistics of various scientific and technical data and the archiving of various data;

5. Be responsible for the education management of the international students in this school and other related foreign affairs;

6. Be responsible for the construction of the website of this school;

7. Be responsible for the mail receipt and delivery and the family planning of this school.
